Registration desk
The Registration Desk will open from 08:00 each morning. This is located on the first floor of the hotel and will be clearly sign posted.
Badges
Please either print or have a digital copy of your confirmation QR code ready in order to collect your badge from the registration desk. You are required to wear this at all times during the event.
Dress code
This is a military/emergency service event so where applicable, please do wear uniform. Otherwise, smart business dress is requested.
Wifi
There will be complimentary WIFI access available during the event.
The Event App
The event networking app and digital agenda will be launched 3 weeks pre-event, please keep a lookout for the launch details which will be shared
with you via your registration email address.
Exhibition Set up & Breakdown
Monday 20th October 6pm – 9:30pm in the Warsaw Hall & Foyer. The ceiling height of the Warsaw Hall is 5m & the foyer is 3m, therefore please double check the height of your pop-up stand. Most pop-up stands are 7.08ft/2.2m to 7.2ft/2.4m in height. To see measurements for lift access click here. Exhibition break down can begin on Thursday 23rd October after the last networking break. Deliveries must be picked up on the 23rd after the event. Suggested courier information on the next page.
Furniture/Electricity
Each exhibitor will have 1 x (60 x 180cm) clothed trestle table, 2 chairs and access to a power point. Adapters are not provided on the day, if any
of your equipment requires one, please bring your own.

Delivery Information
Any deliveries arriving before Monday, or those not possible to hand-carry, must be shipped to the advanced warehouse and stored with CEVA for a fee. CEVA will deliver any stored items on Monday in preparation for setup. You can find the delivery label here

Presentations and AV
Please send over your presentation no later than Friday 10th October to Harry – Harry@defenceleaders.com. If this is not possible, please
bring your presentation with you on the day on a USB stick. All presentations should be set to widescreen 16.9 on a PowerPoint file. Just to
reiterate we would ask that your presentation last around 20 minutes as that allows time for the audience to ask questions afterwards.
We would encourage you to use videos or media within your presentation, it is mandatory to check your slide deck and that the audio/video are
working correctly with the AV technician on site prior to your speaking slot. This is best done during the networking breaks, or morning registration
if you have an early speaking slot. This will ensure your presentation is delivered without any technical difficulties or formatting issues. We do not
accept any responsibility for your presentation going wrong on the day.
All speakers will be provided with a lectern microphone, clicker and screen to view your presentation.
What to include and not to include in your presentation
As the experts, we will of course let you decide what to include in your briefings but please refrain from giving unnecessary background
information into your subject (as many other briefers may have already covered this) and try to avoid, unless called for, organisational structure
charts. Your presentation should be no longer than 10-15 slides. If someone is very interested in hearing more about you, they can speak to you
during the networking breaks.
Post Conference
It is our policy to distribute the slides of each presentation after the event to all conference attendees. If you do not want your presentation
distributed after the conference, or would like it edited before we release it, then please let Harry know.

to their support, we are able to offer free passes to all military and public sector guests. You may well be approached onsite by members of our
team asking to introduce you to some of these partners. We would respectfully ask that you facilitate this where possible as this will only happen
when there is a shared interest between parties.
