1. Acceptance of Terms
By registering for and/or attending this event, you agree to these Terms and Conditions, which govern your participation and form a legally binding agreement between you and Defence Leaders Limited.
2a. Refund Policy – Industry Delegate Passes
All registrations and payments for paid delegate passes are final. Once a pass has been purchased, no refunds will be issued, including in cases of non-attendance, illness, or unforeseen circumstances.
If you are unable to attend, you may request to transfer your place to a colleague by contacting us in advance of the event.
2b. Complimentary Passes (Military and End Users)
Complimentary passes are non-transferable unless agreed in advance. No costs associated with attendance (including travel or accommodation) will be reimbursed under any circumstances.
3. Filming and Photography by Organisers
Photography, video recording, and other media may be captured during the event by Defence Leaders Limited and its official media partners.
These materials may be used for promotional, marketing, editorial, and business purposes, including publication on websites, social media, and in future event materials.
If you prefer not to be filmed or photographed, please notify a member of the event team on-site or contact info@defenceleaders.com in advance where possible. We will make reasonable efforts to respect your preference.
4. Filming and Recording by Attendees
Due to the sensitive nature of the event and its participants, attendees are not permitted to record video or audio of presentations, discussions, or event activities without prior written permission from the organisers.
Photography may be permitted in designated areas or at specified times, provided it does not capture restricted, sensitive, or classified content.
5. Data Protection and Privacy
5.1 Use of Your Information
We collect and use your personal data to manage your participation in the event, including registration, logistics, security requirements, and event communications.
As part of your participation, we may contact you by email or phone regarding this event and similar Defence Leaders events that may be relevant to your role. You can opt out of these communications at any time.
5.2 Attendee Networking
To support networking between participants, your name, job title, organisation, and rank may be included in an attendee list shared with other registered attendees.
If you prefer not to be included, you can opt out during registration or by contacting us.
5.3 Event App
We may provide an event app to facilitate networking and meeting scheduling. Your profile may be visible to other attendees within the app.
You can choose not to participate in the app or limit your visibility at any time.
5.4 Exhibitor Interactions and Badge Scanning
Your event badge will include a QR code that exhibitors may request to scan during the event.
By choosing to allow an exhibitor to scan your badge, you consent to sharing your contact details (such as name, job title, organisation, email, and telephone number) with that exhibitor. The exhibitor may contact you directly and will act as an independent data controller.
You are under no obligation to allow your badge to be scanned.
5.5 Sponsored Content and Partners
If you choose to engage with sponsored content, partners, or specific event features, your details may be shared with the relevant sponsor or partner where appropriate. They may contact you directly in accordance with their own privacy policies.

6. Event Modifications
The organisers reserve the right to make reasonable changes to the event programme, including speakers, schedule, and content where necessary. Any significant changes will be communicated to attendees.
7. Liability
Nothing in these Terms limits or excludes liability where it cannot be limited under applicable law.
Subject to this, Defence Leaders Limited shall not be liable for any indirect or consequential loss, or for any loss of personal belongings during the event.
Attendees are responsible for their own safety and property while attending the event.
8. Code of Conduct
All attendees are expected to behave professionally and respectfully.
We reserve the right to refuse entry or remove any attendee whose behaviour is deemed inappropriate, disruptive, or poses a risk to the safety, security, or experience of others. No refund will be provided in such cases.
